The Role
We are seeking a proactive and well-organised Admin Assistant to support our day-to-day office operations and administrative activities at SSE. The role will involve coordinating office requirements, supporting employees and management, and assisting with fleet and facility-related activities to ensure smooth and efficient operations.
The ideal candidate will have 2–5 years of experience in administration, office coordination, or a similar role, with hands-on experience in fleet coordination and office management.
Key Responsibilities
Support the smooth day-to-day operation of the office and ensure administrative requirements are handled efficiently.
Coordinate company fleet activities, including vehicle allocation, schedules, maintenance, servicing, and related documentation.
Follow up with drivers, vehicle providers, workshops, and other external suppliers as required.
Maintain accurate records of company vehicles, including registrations, insurance, maintenance, and service schedules.
Coordinate transportation arrangements for employees, management, and business-related activities when required.
Monitor office supplies and coordinate purchasing and replenishment to ensure availability of essential items.
Coordinate office maintenance, repairs, and facility-related requests with relevant suppliers and service providers.
Support meeting room arrangements, office setup, courier services, deliveries, and general office logistics.
Assist with the organisation of internal meetings, events, and employee activities.
Support reception and front-of-house activities when needed, ensuring a professional experience for visitors and employees.
Maintain organised administrative records, documents, invoices, and supplier information.
Assist HR and management with onboarding logistics and other administrative requirements.
Handle confidential information with discretion and maintain a high level of professionalism.
Identify day-to-day administrative issues and follow up proactively to ensure timely resolution.
What You Bring
2–5 years of experience in office administration, administrative coordination, or a similar role.
Previous hands-on experience in fleet coordination and office management is required.
Strong organisational and multitasking skills, with the ability to manage multiple priorities.
Good communication and follow-up skills, with the confidence to coordinate with employees, suppliers, drivers, and service providers.
Proficiency in Microsoft Office, particularly Excel, Word, and Outlook.
Strong attention to detail and ability to maintain accurate records and documentation.
A proactive, practical, and solutions-oriented approach to daily administrative tasks.
Ability to work independently while also supporting different teams and management.
Professional attitude, discretion, and strong interpersonal skills.
Previous experience in a professional services, consultancy, engineering, or corporate environment is an advantage.
